Booking Terms and Requirements

 

This page outlines all conditions for booking the 9/11 Tribute Steel Sculpture for events, rallies, ceremonies, and public gatherings.

Please review these terms before submitting your booking request.

 

 

1. Eligibility and Booking Area

 

The sculpture is available for events located within driving range of Virginia Beach, VA.

 

• Standard service radius covers up to 300 miles from Virginia Beach

• Events beyond 300 miles require a custom quote

• Travel fees apply based on mileage tier selection during booking

 

The sculpture must be placed on stable, accessible ground suitable for trailer parking.

 

 

2. What Your Booking Includes

 

A standard booking includes:

 

• Delivery of the full 9/11 Tribute Steel Sculpture

• Safe placement and staging at your event site

• On-site management by the sculpture’s creator, Ed Hogle

• Photo access for attendees

• Breakdown and return transport after the event

• Up to 4 hours and 30 minutes of on-site time

 

Additional time can be arranged upon request.

 

 

3. Required Event Conditions

 

To ensure safe setup and operation:

 

 

Space Requirements

 

• Minimum 25 feet of clear space for trailer access

• Flat, solid ground (no mud, deep sand, steep slopes)

• Adequate room for attendee gathering and photo lines

 

 

Access Requirements

 

• Direct vehicle access to the staging area

• No low-clearance obstacles such as overhead wires or tree branches

• If the event prohibits vehicles in pedestrian zones, organizer must provide escort access

 

 

Safety Requirements

 

• The sculpture cannot be repositioned by staff or attendees

• No climbing, leaning, or hanging on the sculpture

• Barriers or cones may be added for crowd control if necessary

 

 

4. Travel Fees

 

Travel fees are based on round-trip mileage from Virginia Beach, VA.

 

Your booking form includes the correct tier.

Rates start at 0–19 miles included, then increase in structured increments.

 

A full mileage chart is displayed in the booking form.

 

 

5. Weather Policy

 

The sculpture is an outdoor-safe installation, but extreme conditions may require cancellation for safety reasons.

 

 

Cancellations may occur due to:

 

• Severe storms

• High winds unsuitable for safe setup

• Flooding or hazardous road conditions

 

 

If weather forces a cancellation:

 

• Your deposit is not refunded, because travel prep and staging labor occur prior

• You may reschedule at no additional fee

• If rescheduling is not possible, credit may be applied to a future event

 

All weather decisions are made by the sculpture operator for safety.

 

 

6. Cancellation and Refund Policy

 

 

For organizer cancellations:

 

• Cancellations made 30 days or more before the event receive a full refund

• Cancellations within 30 days forfeit the deposit

• Cancellations within 7 days require full payment of the remaining balance

 

 

For operator cancellations (non-weather):

 

• A full refund is provided

• Organizers may also reschedule at no cost

 

 

7. Payment Terms

 

• A 50 percent deposit is required at booking

• Remaining balance is due one week before the event

• Travel fees must be paid in advance

 

Event setup cannot begin until payment is complete.

 

 

8. Liability and Damage

 

The sculpture is a handcrafted steel memorial artwork.

Damage or tampering will result in financial responsibility for repair or restoration.

 

Organizers accept responsibility for:

 

• Maintaining crowd control

• Preventing intentional misuse by attendees

• Providing a secure environment during the booked period

 

The sculpture creator and team are not liable for:

 

• Attendee injury resulting from ignoring posted warnings

• Environmental hazards, event infrastructure, or third-party negligence

• Weather-related cancellations outside operator control

 

A detailed liability waiver is included in the booking form.

 

 

9. Photography and Media Use

 

Attendees may freely take personal photos.

Professional photographers or media outlets must follow event rules.

 

The sculpture owner may take photographs during the event for:

 

• Documentation

• Safety records

• Promotional and commemorative purposes

 

If your event has media restrictions, notify us in advance.

 

 

10. Additional Services and Add-Ons

 

Optional extras may include:

 

• Additional on-site hours

• Crowd-control equipment

• Custom memorial signage

• Overnight display

• Multi-day event pricing

• Flags or merchandise for sale at the event

 

These can be requested on the booking form.

 

 

11. Agreement

 

By submitting a booking request, the organizer acknowledges:

 

• They have read and agree to all terms on this page

• They understand that the deposit is non-refundable after processing

• They accept responsibility for providing accurate event details

• They agree to maintain a safe environment for the sculpture and attendees

 

This page, the booking form, and the invoice together form the complete agreement.
